‘Student stories: Go Higher West Yorkshire alumni’ Privacy Notice

ABOUT US  

Go Higher West Yorkshire is a partnership of universities and colleges working together to reduce inequalities and help everyone who can benefit to access and succeed in higher education.  

We are part of the OfS Uni Connect Programme – we offer impartial advice and guidance on college and university.  Uni Connect is funded by the Office for Students. It is a national network of partnerships across England which offer impartial advice, guidance and activities on the benefits and realities of higher education in college and university.  

ABOUT OUR  RESEARCH & EVALUATION 

We are doing evaluation and research to find out whether the activities we run make a difference to the learners that take part. To do this we collect a range of data from learners. We also administer surveys to find out about the knowledge and attitudes of those who take part in our activities.   

Data and survey responses are analysed. We use these statistics to understand how helpful different activities are and if they make a difference to learner decisions about their future. This will help us to decide what activities we should offer to other young people in the future.   

WHAT PERSONAL DATA WE WILL COLLECT 

As part of your involvement in this project we will collect data about you. The data we collect is: 

  • Full name 
  • Date of birth 
  • Email address  
  • Home postcode (where you were living when you took part in Go Higher West Yorkshire activity at school) 
  • Interview data (recorded and transcribed) 

WHAT WE WILL USE YOUR DATA FOR 

Your name, date of birth, home postcode, and school/ college information will be used to search our Uni Connect database called HEAT to check you are eligible to be interviewed. If you are eligible, your email and name are collected so that we can contact you to arrange an interview. We will use the information you share in the interview to create ‘student stories’ these will be short case studies using quotes from the interview. They will be published to our social media and website. This will identify you as an individual, but we won’t do this without your explicit written permission. If you would prefer not to be directly identified, we can publish your case study under a different name.

LAWFUL BASIS 

The lawful basis for collecting the personal data detailed above is ‘consent’and, by completing this survey, you are consenting for us to use your data in the ways described in this Privacy Notice. You have the right to withdraw your consent at any time, which you can do by contacting us using the contact details provided below.  

PROTECTING YOUR DATA 

Your data is collected via Microsoft Forms and is processed in compliance with General Data Protection Regulation 2018 (GDPR).  Your data will only be accessible to key members of the GHWY Data, Evaluation and Impact team and will not be shared with anybody else. It will be stored securely on the University of Leeds serverand password protected. We will hold your data only for as long as is necessary, and will minimise the data we hold. At the end of academic year 2026 all data will be completely anonymised or deleted.  If we report or publish on this work, we will never identify you as an individual.

YOUR RIGHTS 

You have the right to  

  • Rectification – that any mistakes in the data held about you are corrected.  
  • Erasure – that data held about you is deleted.  
  • Restriction of rights to process – that you limit how the data about you is used.  
  • Object to your data being used.  
  • Portability – for you to have your data given back to you in an accessible form so that you can take it somewhere else.  
  • Withdraw – the right to decide you do not want to take any further part in the research, but you may be happy for us to keep the data we already hold about you.  

You also have the right to withdraw your consent at any time.
